1. Who we are
Podhupu (ABN 18 203 418 456), trading as Teammate, of [street address, Sydney NSW] ("Teammate", "we", "us") designs, installs and operates AI agent systems for businesses. This policy applies to our website, our services and our dealings with clients, their customers and job applicants.
2. Two roles we play
As a service provider. When our agents handle information inside a client's systems (their customers' calls, tickets, invoices or records) we act on the client's instructions under a written agreement. The client decides why that information is used, and their privacy policy also applies.
On our own behalf. For information about our own clients, website visitors, subscribers and applicants, we are responsible for it under this policy.
3. What we collect
- Contact and account details: name, work email, phone, company, role, login and SSO identifiers.
- Client operational data: information our agents process during an install, which may include customer contact details, call recordings and transcripts, transaction and invoice data.
- Sensitive information: only where a client's service requires it (for example health information for a clinic receptionist) and only with appropriate consent and controls agreed in writing.
- Agent activity logs: records of what each agent saw, decided and did, and which person approved it.
- Website data: our hosting provider keeps standard server logs (IP address, browser, pages requested and time) for security and to keep the site running. We don't use advertising or tracking tools.
If you don't provide information we reasonably need, we may not be able to provide the service. You can deal with us anonymously or under a pseudonym where that's practical, for example when reading our research.
4. How we use it
- To deliver, secure, monitor and improve the services a client has engaged us for.
- To run evaluations and shadow‑mode testing inside that client's own environment before agents go live.
- To communicate with you, including service notices and, if you opt in, our field notes. You can unsubscribe at any time.
- To meet legal obligations and to handle complaints, disputes and contested agent decisions.
5. AI models and your data
We do not use client data to train AI models, and our contracts with model providers prohibit them from doing so and require zero or minimal data retention. Any research use of client data needs that client's written consent, and is anonymised. Agents always identify themselves as AI; see our AI transparency page.
Where an agent makes or recommends a decision that significantly affects an individual, a person can ask for it to be reviewed by a human.
6. Who we share it with
We share personal information only with: the client on whose behalf we process it; subprocessors who help run our services (listed in the Trust Centre); professional advisers; and regulators or law enforcement where the law requires. We do not sell personal information.
7. Overseas disclosure
We host production data in Australia by default. Some subprocessors (for example, a model or voice provider) may process data in [countries]. Before any overseas disclosure we take reasonable steps under APP 8 to make sure the recipient handles the information consistently with the Australian Privacy Principles.
8. Security and data breaches
We protect information with encryption in transit and at rest, scoped access per agent, single sign‑on, logging and regular testing. If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme, and notify affected clients without undue delay.
9. Retention
We keep personal information only as long as needed for the purposes above or as the law requires. Client operational data is retained for the period set in each client agreement, then deleted or de‑identified. Default periods: agent logs [X months], call recordings [X days], account records [X years after the relationship ends].
10. Access and correction
You can ask to access or correct personal information we hold about you. We will respond within 30 days. If we hold your information as a service provider to a client, we will pass your request to that client and help them respond.
11. Cookies and browser storage
This website doesn't set cookies. It remembers your light or dark display choice in your own browser's storage, which never leaves your device. Anything you type into the floor sketch stays in your browser unless you choose to email it to us. If we add privacy-friendly analytics later, we'll update this section first.
12. Complaints
If you have a concern, contact our Privacy Officer first. We'll acknowledge it within 5 business days and aim to resolve it within 30 days. If you're not satisfied, you can complain to the OAIC at oaic.gov.au.
